Pricing Workflow Readiness Checklist

Before running a pricing review, it helps to confirm that the right data, owners, rules, and outputs are available. Use this checklist to identify what is ready, what is missing, and where pricing work may still depend on manual cleanup.

1. Product data

  • Stable product or part number
  • Product description
  • Category or product family
  • Active or inactive status
  • Unit of measure
  • Optional vendor, brand, branch, or region
  • Duplicate product identifiers reviewed

2. Cost data

  • Current unit cost
  • Previous unit cost, if available
  • Supplier or vendor
  • Cost effective date
  • Cost change amount or percentage
  • Missing, zero, or unusual costs flagged
  • Unit of measure differences reviewed

3. Price data

  • Current approved selling price
  • Previous or list price, if available
  • Active price list coverage
  • Customer-specific exceptions identified
  • Minimum margin or target margin rules defined
  • Pricing source is clear: approved price, uploaded baseline, or proposed recommendation

4. Sales and demand data

  • Recent sales history available
  • Quantity sold
  • Revenue
  • Customer or segment, if available
  • Date range understood
  • Slow-moving, fast-moving, or high-demand items identifiable

5. Review rules

  • Default margin target defined
  • Minimum margin floor defined
  • Category exceptions documented
  • Escalation rules defined
  • Quote-sensitive items flagged
  • Strategic products or categories identified

6. Approval process

  • Reviewer identified
  • Final approver identified
  • Sales or branch input process defined
  • Exception handling process defined
  • Approved price publication process defined
  • Effective date process defined

7. Output readiness

  • Required export format known
  • ERP or import requirements understood
  • Price list format confirmed
  • Quote workflow requirements confirmed
  • Communication needs identified
  • Record of approved changes retained

8. Readiness scoring

Mostly ready

Most required inputs are available and ownership is clear.

Partly ready

Core data exists, but cleanup or approval rules are still needed.

Not ready yet

Data is fragmented, ownership is unclear, or approved prices are not identifiable.
